Welcome, and thank you for choosing our services. These Terms and Conditions are here to make our working relationship clear, fair, and straightforward for everyone. We have written them in plain language — no unnecessary legal jargon.
1. Who We Are
These Terms and Conditions govern the relationship between you and the online platform and brand Wise Expats. We operate as a professional relocation and administrative support service based in Prague, Czech Republic.
While we manage our workflows digitally to keep your experience seamless and efficient, our team is fully accessible for any inquiries, support, or formal notices. You can reach us directly through our official online contact channels, via email at info@wiseexpats.com, or by phone at +420 602 977 949.
2. What We Do for You
We provide hands-on administrative assistance and relocation support in the areas of residency, business registration, and taxation. We don’t just help you prepare your paperwork; we guide you through the entire process and accompany you to all necessary visits at local authorities to make every step as stress-free and straightforward as possible.
Our services include:
- Student visas and student residence permits
- Partner and family member visas and residence permits
- Residence permits for self-employed individuals (freelance visa)
- Long-term and permanent residence permits
- Cancellation of residence permits
- Trade licence registration and cancellation
- Marriage assistance and related administrative proceedings
- Tax residency and related applications
- Personal income tax returns
- Flat-rate tax (paušální daň)
- Basic VAT registration and agenda (light VAT)
- Other administrative services as individually agreed
Please note: We act as professional administrative assistants and relocation guides, not as attorneys, legal counsel, or certified tax advisors. Our goal is to make the entire relocation and registration process entirely stress-free for you. If your unique situation requires specialized legal or tax counsel, we are always happy to point you in the direction of a trusted, licensed professional.
3. What You Can Expect from Us
We believe in open, friendly, and professional collaboration. We commit to:
- Communicating with you clearly and in plain language
- Keeping you consistently informed about the progress of your applications
- Responding to your questions and messages within a reasonable timeframe
- Handling your documents and personal data with the utmost care, confidentiality, and respect
- Letting you know promptly if local authorities require additional materials or if an unexpected timeline change arises
4. How We Work Together
Our collaboration officially begins with the confirmation of your service order or the signing of a mutual cooperation agreement. Before we start, we will review your specific situation together, agree on the exact scope of services, and discuss payment arrangements.
Once you provide us with the necessary onboarding documents, we get to work straight away. The more complete and accurate your materials are, the faster and smoother the process will be. If you are ever unsure about what documents to prepare, we will walk you through it step-by-step.
We reserve the right to decline a service request where this is required by local regulations or where it would conflict with the ethical principles of our work.
5. Your Role in the Process
To do our best work and ensure a successful outcome, we need your active cooperation. We kindly ask you to:
- Provide entirely truthful, accurate, and complete information and documents
- Respond to our messages and updates within a reasonable timeframe
- Inform us immediately about any changes in your personal situation that could affect your ongoing application
We understand that every client’s situation is unique and that gathering international paperwork can be overwhelming. We are here to help you navigate those challenges.
Please note that if an application is rejected, penalized, or delayed by local authorities due to incomplete, inaccurate, or late documentation provided by the client, we cannot be held responsible for that outcome.
6. Payment
The fee for our services is always agreed upon in advance, tailored individually to the scope and complexity of your relocation or administrative needs. There are absolutely no hidden charges.
We understand that relocating and setting up a life abroad involves many moving parts, so we are happy to offer flexibility with payments:
- Payment can be made upfront, in stages during the process, or upon completion of the service, depending on our initial agreement.
- We are happy to split the service fee into manageable installments — just let us know what works best for your budget before we begin.
- The specific payment method and schedule will be detailed and agreed upon individually.
All payments are processed on the basis of a standard invoice. If you have any questions or specific financial preferences, please reach out — we will always do our best to find a balanced solution.
7. Refunds
We approach every client relationship with empathy and look at situations on a case-by-case basis. If for any reason a service cannot be completed, we will sit down with you to discuss it and find a fair, amicable solution. Any calculated refund will take into account the specific stage of work already completed and any direct administrative costs or official fees already incurred on your behalf.
8. Data Protection
We take the security and privacy of your personal documents very seriously. Any information, identity documents, or personal data you share with us is used exclusively for the purpose of delivering the agreed-upon services, in full compliance with European data protection legislation (GDPR). For complete details on how we protect your information, please refer to our full Privacy Policy available on our website.
9. Communication
We prefer email or written digital communication as it keeps a clear, reliable history of our records and document exchanges. We always aim to respond as quickly as possible. If you would prefer a phone call, an audio note, or an in-person or video meeting to clarify certain steps, we are more than happy to arrange that with you.
10. Changes to These Terms
We may update these Terms and Conditions from time to time to reflect updates in our services or changes in local administrative processes. The current, active version is always accessible on our website. Any structural updates to these terms do not apply retroactively to collaborations and active service cases that are already underway.
11. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of the Czech Republic. In the rare event of a disagreement, our absolute priority is to sit down with you and reach a friendly, fair resolution. If an amicable solution cannot be reached, the competent courts of the Czech Republic shall have exclusive jurisdiction.
